Job Scope

Reporting to the Director of Admissions and the Enrolment Supervisor, the Office Assistant provides clerical, secretarial, and financial administrative support for Administration departments of Vancouver Film School, specifically the Admissions team. The Office Assistant will also support the Managing Director on any assigned tasks. The ideal candidate will be personable, detail orientated, and will be able to communicate and work effectively amongst all departments with varying demands.

Total Compensation
• $40-45k dependant on career milestones
• 2 weeks vacation to start
• Extended paid time off over winter break (approx. 5-8 additional days)
• 3 personal days, 5 sick days

Core Responsibilities

  • Support administrative efforts across the departments including but not limited to filing, scanning, printing, creating training guides sorting mail, and mailing FedEx packages, as needed.
  • Process applications, maintain student file records, and perform data entry and tracking.
  • Collect tuition payments and send receipts and invoices.
  • Provide front line customer service to visitors, students and staff by determining the nature of inquiries, checking policies and procedures, gathering and reviewing information and responding directly or referring matters to the appropriate individual(s).
  • Compose confidential and general correspondence.
  • Answering phone calls, and managing VFS email inboxes.
  • Assist with the planning and coordination of departmental events and meetings as assigned.
  • Assist with maintaining and ordering office supplies as needed.

Job Qualifications

  • Post-secondary training in Business/Office Administration and/or equivalent administrative experience.
  • Intermediate to advanced knowledge of MS Office, MS Word, MS Excel, MS Outlook and Internet.
  • Experience working in a fast-paced environment.
  • Experience using basic office equipment (fax, photocopier, etc)
  • Excellent written and oral communication skills.
  • Strong interpersonal and customer service skills.
  • Highly organized and efficient.
  • Excellent attention to detail and accuracy.
  • Must work well independently and as part of a team.
  • Ability to lift, move, and carry supplies weighing up to 15 pounds
